Who is responsible for the portal

The Vital Cryo Portal is operated in connection with a Firebase project owned by TecnoScan Iternational. For the purposes of portal operation, account management, and associated backoffice workflows, TecnoScan acts as the primary operator of the infrastructure and the main point of contact for privacy-related requests.

What data may be processed

• Business identity data such as company name, tax details, and location details.
• Contact data such as names, email addresses, phone numbers, and support contact details.
• Account data such as login email, user role, authentication status, and access permissions.
• Operational data such as machine serial numbers, commissioning status, assignments, network configuration records, software release references, alarms, and support tickets.
• Technical logs and audit information such as sign-in events, activity traces, attachments, and machine-generated telemetry relevant to operation or troubleshooting.

Why data is processed

• To authenticate users and provide access to the Vital Cryo Portal.
• To manage machine lifecycle activities including provisioning, commissioning, assignments, and maintenance records.

How data is stored and shared

The portal is based on Firebase services under a project owned by TecnoScan. Personal and operational data may therefore be stored and processed through Google Cloud and related service providers engaged for hosting, authentication, storage, and security operations.

Data may also be shared internally with authorized manufacturer personnel and, where operationally necessary, with distributors, dealers, service partners, or advisors involved in delivering support, contractual performance, or lawful compliance obligations. Data is disclosed only on a need-to-know basis.

International transfers

Depending on the configuration of the cloud infrastructure and service providers, data may be processed outside the country in which the user is located. When such transfers occur, they should be managed using contractual, technical, and organizational safeguards appropriate under applicable law.

Retention
